Brokers · Billing & carrier pay

Invoice the shipper. Check the carrier’s bill.

Issue the invoice and the shipper’s AP team gets a private link that opens on any phone. A response link sent to their address lets them approve or dispute after a six-digit code. Carrier bills over your limit wait for a second person before they count as owed. The bank feed, ledger, P&L and balance sheet underneath are live today.

Where it works

Billing on the web. Approvals in the apps. The invoice on any phone.

Invoices, bills and the books run in the web app on a computer or a tablet browser. The tablet and mobile apps approve carrier bills and record payments received. The shipper’s invoice link opens in any browser, phones included.

Billing, surface by surface

  • WebAvailableBank feed, ledger, P&L and balance sheet are live. Invoices, carrier bills, received bills, aging and 1099 worksheets are in testing. A computer or a tablet browser.
  • TabletIn testingMoney app: open invoices, record a payment received, approve or reject a carrier bill with a reason, read the P&L. Debug builds on company devices.
  • MobileIn testingThe same Money app at phone width. A phone’s browser can’t open the workspace; the shipper’s invoice link opens on any phone.

The apps are test builds on company devices, not in any app store. Connecting a bank stays on a computer.

Bill the shipper

An invoice the shipper’s AP team can act on.

Pick the shipper from your contacts, write the lane as the line, add their PO number and issue. The invoice is numbered, locked and posted to receivables; its PDF is filed, and each person you send it to gets a private link.

  • Reminders before and after the due date, with an opt-out per shipper
  • A statement for any date range, previewed or emailed
  • Credit notes, refunds and write-offs to bad debt
  • Disputes arrive in the shipper’s own words and are answered on the invoice
  • Record a check or bank transfer when it arrives; the deposit lands in the bank feed

Pay the carrier

Carrier bills over your limit wait for someone else’s OK.

Enter the carrier’s bill with its PDF or photo. Bills at or above the amount you set wait for approval, and the person who enters a bill can’t approve it. Approve or deny on the web, or approve or reject in the tablet and mobile apps.

In testingCarrier bills with an approval threshold; approve or reject in the apps

Illustration · fictional names and data

  • A threshold you set

Bills under it count as owed once entered. Bills at or above it wait for the owner, or for the approvers you list.

  • Never the same person

Whoever enters a bill can’t approve it. Each approval or denial is kept with a name and a time.

  • The bill keeps its paper

The carrier’s PDF or photo, up to 20 MB, stays with the bill in Files.

Record payment notes a transfer or check you made from your bank, so the books and A/P stay right. ACH payouts to carriers are coming.

Carriers on the platform

A carrier on the platform bills you from its own books.

A carrier that also runs on ANNEX ORBIS issues its invoice from its own books, and it arrives under Invoices › Received with Approve and Dispute, plus a card in the payables queue. Approve it, choose the expense account and post it. Nothing to retype from a PDF.

  • The carrier’s invoice number, amount and due date arrive as it issued them
  • Approve or Dispute from the list, or from the card in the Work queue
  • Prepare posting: pick the expense account, then post to your books

In testingReceived bills from companies on the platform

Today a received bill needs the carrier’s contact linked to its company on the platform. Connections between companies are coming.

Margin, and what comes next

Today the margin is on the quote. Next, it rides the load to the invoice and the carrier bill.

Route Estimate’s broker view puts the buy rate, the sell rate and the margin side by side on every quote. What comes next joins the load to the money: an invoice drafted from the delivered load with its POD, a carrier bill from the confirmed tender, a three-way match before anyone approves, and quick pay for carriers who want it.

FAQ

Questions about billing and carrier pay

Can I invoice straight from a delivered load?

Not yet; an invoice drafted from the delivered load, with the POD attached, is coming. Today you write the invoice: pick the shipper from your contacts, put the lane on the line and their PO number on the invoice, and issue it. The sell rate is on your saved quote to copy from (in testing).

Can shippers pay online?

Card and ACH collection is coming. Today the shipper’s link shows the invoice and its PDF and asks them to pay by bank transfer using the details on the invoice, or to contact you to arrange payment. When the money arrives you record the payment (in testing), and the deposit comes in through the bank feed (available).

Does it send money to carriers?

No money leaves from here today. A carrier bill is entered, approved by someone else when it’s at or above your threshold, then paid from your bank the way you pay now; Record payment notes it so A/P and the books stay right. ACH payouts, quick pay and payment to a carrier’s factor are coming.

What stops one person from approving their own carrier bill?

The approval policy. Bills at or above the amount you set wait for the owner, or for the approvers you list, and the person who entered a bill can’t approve it. Each decision is kept with a name and a time. This is in testing.

Do you check a shipper’s credit or factor our invoices?

No. Shipper credit checks and factoring your own receivables aren’t offered. If you factor, the factor’s deposits arrive through the bank feed like any other line, and aging shows what each shipper still owes.

Can we keep QuickBooks and sync it?

There’s no QuickBooks sync. Moving over is a one-time guided import from QuickBooks export files: accounts, customers, vendors and what’s still open on both sides (in testing). After that, the books live here.

Bill the shipper and approve the carrier’s bill on one sign-in.

Bring last week’s invoices and carrier bills. We’ll walk them through the shipper’s link, the second approval and the books with you, on your own lanes.
