Where it works

The office runs in the browser. The apps carry the essentials.

The office lives in the web app, on a computer or in a tablet’s browser. The tablet and mobile apps are test builds on company devices, not in any store.

Status by device

  • WebAvailableShared inboxes, calls, customers, My work and HAL by text, on a computer or in a tablet’s browser. Texts, pipelines and e-sign are in testing.
  • TabletIn testingThe app reads mail as plain text and shows customers, the call log, texts and My work. A call opens the browser.
  • MobileIn testingThe app has mail, customers, the call log, texts and My work, and can’t place calls yet. A phone’s browser can’t open the workspace.

Your shippers and carriers never need the workspace. Quote, tracking and invoice links and the FMCSA lookup open in any phone’s browser. Open the FMCSA lookup

8:02 AM · Shared inboxesAvailable

loads@ for the freight, billing@ for the money, a role for each person.

Quote replies, tenders, truck offers and carrier invoices land in shared company inboxes. Each person gets a role on each mailbox, so carrier sales works loads@ and only billing opens billing@. Everyone on a mailbox sees the same read state.

  • Roles on every mailbox: Read only, Read and send, Manage mailbox or Mailbox owner
  • One access review across every mailbox you manage
  • A spam filter on by default, and previews for attached POs, rate cons and invoices
  • Mail filed to the shipper or carrier by exact address, never by domain
  • In testingReplying and sending from loads@, drafts the whole mailbox can pick up, and follow-ups
  • In testingMail on your brokerage’s own domain, with guided DNS checks
  • In testingNaming a new sender from Needs filing, or creating a customer from a message

Mailboxes live on a domain you own; there are no shared @annexorbis.com addresses. We set the domain up with you.

8:25 AM · The business lineAvailable

Call the carrier from the browser, on the company’s line.

Carrier sales places and answers calls in the web app, on a computer or in a tablet’s browser, on lines already on the platform. Every call lands in the call log with its line, and missed calls get their own tab.

  • Place and answer calls in a browser tab, on a computer or a tablet
  • A call log that shows each call’s line, with All calls and Missed calls

Texts with carriers and shippersIn testing

Two-way texts from the business number, one conversation per person. A text to someone who hasn’t agreed waits for their YES; STOP and HELP are handled for you, and quiet hours follow the recipient’s area code. A new number texts once the phone carriers accept its registration.

  • In testingCalling on a newly bought number
  • In testingThe caller’s name from your contacts; mute, hold and transfer
  • In testingMissed calls and voicemails opened as return-call follow-ups
  • In testingAn IVR or an AI receptionist answering the line; call recording with a notice first

Don’t rely on browser calling for 911; keep a mobile phone or landline for emergencies.

9:10 AM · Shipper salesIn testing

From a quote request to a weekly lane.

Prospects move through a five-stage pipeline: Intake, Engaged, Won, Lost and Inactive. A hosted quote-request form behind your website’s button creates the contact with the consent they gave and adds them at Intake. A campaign sends rate updates only to the people who agreed.

  • Board or list; drag a card on a computer, pick the stage on touch
  • A follow-up card on My work for every stage move
  • Each form keeps the consent wording and a snapshot of the page the shipper saw
  • Campaigns skip anyone without consent and hold during quiet hours
  • AvailableShipper, carrier and receiver records with email filed by address
  • In testingYour own fields on the pipeline, like monthly freight

When a load goes wrongIn testing

A damage claim stays open, with an owner, until it’s settled.

Open a service case on the shipper, link the email or call it came from, and record the outcome they asked for. The case has a person responsible, and each follow-up action has its own due date and time, so the claim doesn’t live in someone’s memory.

  • Open, Waiting or Resolved, with a priority from Low to Urgent
  • Actions: contact customer, investigate, provide remedy, collect evidence, make decision
  • Linked to the email, call or text it came from

10:41 AM · Rate cons and agreementsIn testing

The rate con goes out for signature: broker first, then carrier.

Start from the freight rate confirmation or the carrier–broker agreement, fill in the load and send it. Larkspan signs, then the carrier. Every agreement keeps an audit trail and a Certificate of Completion, and the signed PDF carries a tamper-evident seal.

  • Starters for the carrier–broker agreement and the freight rate confirmation
  • Signing order, weekday reminders and an access code before the document opens
  • Signers type or use a saved signature on a computer, or draw by touch in a tablet’s browser
  • The signed PDF and its certificate kept in Files
  • AvailableFiles: folders, sharing roles and every version kept
  • ComingA rate con made from the load and bound to its tender

Starters are general wording with [bracketed] placeholders; have them reviewed before you send them. Signing on a phone isn’t offered.

All day · My workAvailable

Everything that needs a person, in one queue.

Bank lines to review, replies owed, missed calls, agreements to sign and new quote requests arrive as cards. Each shows who’s responsible and who’s handling it. Take it, complete it, defer it, decline it with a reason, or hand it to someone on the web.

  • Assigned to me and Available to take, on one page
  • Take, complete, defer, decline, ask for help and add notes
  • Delegate to a person or a team, on the web
  • AvailableThe queue, and bank-review cards from Accounting
  • In testingCards from email follow-ups, missed calls, signatures and quote forms

All day · HALAvailable

Ask HAL for the load. It opens it, and waits for your yes.

Type “Open L-1042” and HAL opens the load and reads it back. Ask for a tracking link for the Austin receiver and HAL fills in the form, then waits. In Ask first, the setting it starts in, nothing saves until you confirm.

  • AvailableHAL in the web app by text: opens pages and reads records
  • In testingHAL fills in a change and waits for your yes
  • In testingTalking to HAL by voice

In the tablet and mobile apps, HAL works with driver pages and your account, not the office.

Coming nextComing

Every email, call and text about a load, on the load.

Today a shipper’s email is filed to the shipper and a carrier’s to the carrier. Next, each load gets its own conversation: the quote reply, the call to the carrier, the texts and the rate con filed to L-1042, so whoever picks the load up sees the whole story and answers from it.

  • Invite the shipper into a caseComingBluebonnet follows its claim and replies from a link, instead of calling for news.
  • Connect with your carriers and shippersComingConnect with the companies you work with on ANNEX ORBIS. A connection is private to the two of you and shares nothing on its own.
  • Calls in the mobile appComingPlace and take calls on the business line inside the mobile app. The tablet app does this now, in testing.

FAQ

Questions brokerage owners and carrier sales ask

Can my reps work loads@ from their phones?

Not in a phone’s browser: the workspace opens on a computer or a tablet. The mobile app, a test build on company devices, reads mail as plain text and shows customers, the call log, texts and My work, but it can’t place calls yet; the tablet app can, in testing. The pages your shippers and carriers open, like quote, tracking and invoice links and the FMCSA lookup, work on any phone.

Will tender emails file themselves to the right shipper?

Yes, when the sender’s address is on a customer record: mail is filed to that record automatically, by exact address. A new sender waits in Needs filing until someone names them, which is in testing, and filing never guesses from the domain. Filing mail to the load itself is coming.

Can we keep our current phone number?

Not yet. Bringing a number over (porting) isn’t offered. Calls run in the web app on lines already on the platform, and new local or toll-free numbers bought from a prepaid balance are in testing. Call recording is in testing, and browser calling isn’t a 911 line.

Can a carrier sign the rate con on their phone?

Not today. E-signature is in testing, and signers sign in a browser: on a computer they type their name or use a saved signature, on a tablet they can draw by touch. Signing on a phone isn’t offered. A rate con made from the load and bound to its tender is coming.

Does HAL email shippers or send links on its own?

Not in Ask first, the setting it starts in. HAL opens pages and reads records by text today; filling in a change, like a tracking link, and waiting for your yes is in testing. A person can choose another mode, and some changes always ask, whatever the setting.

Can I see every email, call and text about one load?

Not on the load yet. Today mail is filed to the shipper or carrier it came from, and their texts and calls on that same record are in testing. One conversation per load, with mail, calls and texts filed to it, is coming.
