Accounting & driver pay

Books set up for trucking. Every pay deal on record.

Bank feeds a person reviews, a chart of accounts that starts with hauling revenue and fuel, and the reports your CPA asks for. Invoices to brokers and each driver’s pay agreement sit right beside them.

Bank feeds

Every bank line, checked by a person.

Connect checking and the company card once. New transactions arrive on their own, usually with a proposed account. Someone in the office accepts each one or leaves it out of the books.

  • Feeds that arrive on their own

Checking and card accounts sync through your bank connection. No statement uploads, no retyping.

  • A proposed account, and how it was found

Each line says where its suggestion came from: a rule you set, lines you accepted before, or a transfer between your accounts. Accept it, or exclude what isn’t business.

  • Always balanced

Every entry’s debits and credits must agree before it’s saved. A correction posts as a reversal; nothing is erased.

Books and reports

Hauling revenue, fuel and maintenance from day one.

The freight chart of accounts adds hauling revenue, fuel and maintenance to the standard accounts. The reports answer the owner’s three questions: did we make money, where did it go, and who owes us.

Reports

  • Profit and loss
  • Balance sheet
  • Cash flow
  • A/R aging
  • Income by customer
  • Expenses by category
  • General ledger

Every report downloads as PDF or CSV.

Invoices and bills

Bill the broker. Approve the shop.

Numbered invoices go to brokers and shippers by email with a link to view them, and the PDF is filed in Files. Reminders follow up on slow payers, and a credit note settles a short pay. Vendor bills and drivers’ expense reimbursements wait for an approval.

Driver pay

Every driver’s pay deal, in writing.

Per mile loaded or empty, per stop or load, a share of revenue, detention, layover, breakdown, a bonus, a guarantee, a team split. Each agreement is a version with an effective date, so the old rate stays on record when the new one starts.

Settlements and payroll

Pay on record here. Payroll stays with your provider.

Withholding, deposits and tax filings stay with your payroll provider. Import its pay run from Gusto, Rippling, ADP or a CSV, and the journal posts to the books and each driver’s record. Settlement records drafted from approved pay are coming; today there’s no settlement screen or payout.

Month-end and tax time

Close the month. Hand your CPA clean numbers.

Reconcile each account, work the month-end checklist, sign it off and close it so nothing more posts. At year-end, the 1099-NEC report, the missing W-9 list and tax-line summaries are worksheets for you or your preparer. Nothing is e-filed.

FAQ

Questions carriers ask

Is this a payroll service?

No. We keep each driver’s pay agreement and import pay runs from Gusto, Rippling, ADP or a CSV into the books, both in testing. Settlement records drafted from approved pay are coming. Tax withholding, direct deposit, payroll tax filing and W-2s stay with your payroll provider.

Does the bank feed categorize transactions by itself?

No. It proposes an account for each line and says how it found it: a rule you set, lines you accepted before, or a transfer. A person accepts each one or excludes it. Corrections post as reversals, so the history stays intact.

Can we keep QuickBooks running alongside?

There’s no QuickBooks sync. Moving over is a one-time guided import from QuickBooks export files: accounts, trial balance and A/R and A/P aging, previewed until the totals tie, then committed in one batch you can undo. The move is in testing.

Can I bill a load the moment it delivers?

Not yet. Today invoices are written in the office, and invoicing is in testing. Building the invoice from the delivered load, and letting customers pay it online by card or ACH, are coming.

We factor our receivables. Does that work?

Not today. There’s no notice of assignment, remit-to or reserve tracking for a factoring company. Your bank feed still brings in the factor’s deposits for review.

Can our bookkeeper or CPA work in it?

Yes, with the Bookkeeper role, which is in testing. Every report downloads as PDF or CSV today. The 1099 and tax-line worksheets, also in testing, give your preparer the numbers. Nothing is filed from the platform.
