WMS · 3PL & billing

Every lot has an owner. Every month, an invoice.

Record whose goods sit on your racks, quote storage and handling, and bill each month from the books that come with your WMS. The WMS, the TMS and Accounting share one sign-in.

Where it works

Billing on the web. Owners and payments in the apps.

Quotes, orders, invoices and agreements run in the web app, on a computer or in a tablet’s browser. The tablet and phone apps show each lot’s owner and record payments as they arrive. Your client needs no account: an invoice link opens on any phone.

  • TabletIn testingLots with their owners as a read-only list, your customer list, and a payment recorded against an invoice.
  • MobileIn testingThe same in the phone app. A phone’s browser can’t open the WMS; your client’s invoice link opens on any phone.

The tablet and phone apps are test builds on company devices, not in any app store.

Owner and custodian

Whose goods are these? The lot says.

Each lot carries an owner reference, the client whose goods they are, while your warehouse stays the custodian. Owner and stock travel together, from the rack to a recall.

  • Owner on the lot, custody with youCreate the lot with its code and its owner. The lot’s page shows the owner beside what’s on hand at each address and the reservations it affects.
  • A client prefix on every SKUSKU codes are unique across your warehouse, so give each client a prefix: BBF-1042 for Bluebonnet Foods, LSP-0310 for Lone Star Paper Co.
  • A recall with the owner on itReport a defect and the lot goes to quarantine, its remaining reservations stopped and its owner on the same page for the call you make next.

Quotes, orders, invoices

Quote the deal. Invoice what you delivered.

Price a storage or handling deal once. The accepted version becomes a customer order that keeps count of what’s done, and the invoice comes from that record: only what was delivered and not yet billed.

  • Exact lines, a valid-until date and your assumptions on every quote
  • Offer one version and record who accepted it
  • Ordered, fulfilled, remaining and invoiced on every order line
  • Deposit and progress invoices straight from a quote

Monthly billing

Storage and handling, billed every month.

Save your rates once as products. A recurring invoice comes back each month as a draft with the client’s lines and terms: set the month’s quantities, check it and issue.

  • Your rates as productsPallet storage per pallet-month, handling per pallet, stretch wrap, case picks: each with its unit, default price and tax, filling a line in one click.
  • A schedule per clientReview each one first, send it automatically, or make the next only when you ask. Reminders go out before and after the due date.
  • Numbered, filed and postedAn issued invoice is numbered and locked, its PDF filed in Files and the amount posted to receivables.

Agreements and invoice links

The agreement, signed. The invoice, on their phone.

Send your storage agreement for signature from Files, and each invoice as a private link your client opens on any phone, with no account and no app.

Warehouse comes with Accounting, so every invoice on this page lands in the same ledger your bank feed fills. With the CRM, each client is a record with its people and its email.

Customer records with email filed

Each client is a record with its people, and email to and from their addresses files onto it, so the question about invoice 1207 sits next to the thread about Thursday’s inbound.

FAQ

Questions 3PLs ask

Can I keep several clients’ goods in one building?

Each lot records its owner, and SKU codes are unique across the warehouse, so a client prefix keeps every client’s items apart: BBF-1042, LSP-0310. Client accounts, with a client on every item, balance and movement and stock reports per client, are coming.

How do I bill storage and handling?

Save your rates as products, such as Pallet storage per pallet-month and handling per pallet, and give each client a recurring invoice. Each month it comes back as a draft: set the quantities, check it and issue it. Counting pallet-days, receipts and shipments from the stock ledger and billing them per client is coming.

Can my clients see their inventory?

The client portal, with each client’s own stock, receipts and outbound ETAs, is coming. Today a client gets each invoice as a private link that opens on any phone, and for loads you move on the TMS, a tracking link that follows one stop or the whole load.

Do you take EDI or marketplace orders?

Not yet. Orders and ship notices by EDI (940, 943, 944, 945, 856) are coming; marketplace and storefront imports aren’t offered. Today quotes and orders are entered in the web app, on a computer or a tablet’s browser.

Can clients pay online?

Card and ACH payment from the invoice link is coming. Today the link shows the invoice and its PDF with your bank-transfer details, and when a check or transfer arrives you record it on the web or in the tablet or phone app.

Do I have to take the TMS and Accounting too?

They come together: Warehouse includes Routes (the TMS), Accounting and Workforce. That’s why the invoices, the books and the trucks on these pages share one sign-in. Talk to us about your building and we’ll walk you through it.
