One record per customer. Email files itself.
Mail from a known address lands on that customer’s record, so anyone who can open it reads the whole history before replying. Pipelines, web forms and service cases on the same record are in testing.

Where it works
The same customer records on the web, the tablet and the phone.
Status on each device
- WebAvailableContacts with their email filed. Pipelines, forms, campaigns and service cases are in testing.
- TabletIn testingThe Customers app: contacts, filed mail, service cases and pipelines. Forms, campaigns and the Unfiled review stay on the web.
- MobileIn testingThe same Customers pages, sized for a phone. A phone’s browser can’t open the web app.
The tablet and phone apps are test builds on company devices, not in any app store.
Filed by address
Email lands on the customer it came from.
Sofia Marin writes to dispatch@ from shipping@bluebonnet.example. That address is on the Bluebonnet Foods record, so her message files there. Anyone who can open the record sees the whole history, without forwarding.

Pipelines
Move a customer from first quote to steady freight.
A pipeline has five stages: Intake, Engaged, Won, Lost and Inactive. On a computer, drag a card to its next stage. On a tablet or phone, pick the stage from a list.
- Five stages, each with its own standard, like “Work the relationship. Move to won or lost with a reason.”In testing
- Drag and drop on a computer; a stage picker on touch screensIn testing
- Each stage has its own queue, and an entry can have an owner; every move puts a follow-up card on My workIn testing
- Stage lives on the pipeline, not the contact, so one company can be a lead on one pipeline and a customer on anotherIn testing
- Your own fields on the pipeline, like monthly freight or a close dateIn testing

How My work handles the cardWeb forms
A quote request becomes a contact, with consent on file.
Put a hosted form behind the “Get a quote” button on your website. Each submission finds or creates the contact, keeps the consent wording they accepted, and adds them to your pipeline at Intake.
- Name, email and your own questionsIn testing
- The consent wording and a snapshot of the page they saw, kept with the submissionIn testing
- Added at Intake and marked “from a form”In testing
- A “Review a new inquiry” card on My workIn testing
- Every inquiry is saved, even when linking it to a contact needs a retryIn testing

Campaigns
Consent is checked before anything goes out.
A campaign is a pipeline, a consent program and one message. Before you send, the preview shows who will get it and who won’t, and why.
- One message by email or text to everyone on a pipelineIn testing
- Anyone with no consent on record is blocked, never sentIn testing
- An email unsubscribe, or a stop recorded on the contact, withdraws every program at onceIn testing
- Test mode makes the cards without sending anythingIn testing
Campaign quiet hours are one fixed window, 21:00 to 08:00 UTC, the same for every recipient. Text campaigns from a new number wait until the phone carriers accept its registration.

Service cases
A complaint stays open until it’s fixed.
Open a service case for the customer and link the email, call or text it came from. The case keeps the outcome they asked for and a priority, and each follow-up action can carry its own due time.
- Linked to the email, call or text it came fromIn testing
- Follow-up actions: contact customer, investigate, provide remedy, collect evidence, make decisionIn testing
- Open, Waiting or Resolved, with a reason and a resolution historyIn testing
- Cases on the tablet and phone apps tooIn testing
- Inviting the customer to follow the case and replyComing

FAQ
Questions about customer records
Does the email we already get file itself?
Mail that reaches your ANNEX ORBIS mailboxes files onto the contact with that address, so it’s on the record without forwarding. Mail kept in a mailbox outside ANNEX ORBIS doesn’t reach the record. A sender nobody knows waits in Unfiled until someone names them; that review is in testing.
Will calls and texts show on the customer’s record?
Texts do, in testing: a text from a number on the record shows on its Communication tab, next to the email. Calls don’t show there today. They stay in the Phone call log, and a service case, in testing, can link the call it came from. Email filing is the part that’s live.
Can we bring our customer list?
Yes, for people. Import CSV on the Contacts page takes one person per row: name, email and phone. Companies are added one at a time with New organization. Importing is in testing.
Can we send a text campaign on day one?
Not from a new number. Text campaigns go out only once the phone carriers accept your number’s registration. Email campaigns don’t wait on that. Either way, anyone without consent on record is blocked, and the preview shows who before anything is sent. Campaigns are in testing.
Do quiet hours follow each customer’s time zone?
Not for campaigns. Campaign quiet hours are one fixed window, 21:00 to 08:00 UTC, the same for every recipient. A text is also refused during the recipient’s own quiet hours, judged by their area code.
Can customers see their own case?
Not yet. Inviting a customer to follow a case and reply is coming. Today a case stays inside your company: its actions, owners and history are for your team.
